Approaching a Swiss research host for a scholarship proposal

Prepare a focused concept note and understand what host support does—and does not—mean.

Confirm the award category first

Swiss Government Excellence Scholarships include specific research and arts routes with country-dependent availability. Before contacting a potential host, check whether the current category fits your nationality, qualification and intended activity. A research-host conversation is not useful when the award does not fund your study purpose.

Read the host-document requirements in the current call. Note who can provide support, what form it must take and what the application channel requires. Do not ask a professor for a generic acceptance letter without understanding the actual request.

Build a host-specific concept note

Prepare a concise summary of the problem, question, proposed approach, feasibility and reason the host is suitable. Read relevant work and explain a substantive connection. Avoid claiming a research gap solely because you have not yet found a paper on the topic.

Be clear about resources and access. Identify what you can bring, what you would need from the host and which permissions remain unresolved. A proposal that depends on unavailable data or equipment should be revised before it becomes the basis of a formal commitment.

Send a focused enquiry

Introduce your qualification and relevant experience briefly. Explain the academic connection and the scholarship category you are investigating. Ask whether the host would be willing to discuss the project and the required support process. Attach only the material needed for an initial assessment.

Keep the message personal and professional. Do not imply that the professor has already agreed, or use their name in a formal application without the required permission. Give them enough time to review the idea before the deadline.

Develop the project collaboratively

If the host is interested, respond to questions and revise the concept honestly. Clarify the expected activity, supervision, resources and timetable. Keep the distinction between suggestions for improvement and a formal commitment to host the project.

Confirm which documents the host will provide and how they must be submitted. Track those tasks alongside references and the scholarship application. A last-minute request can fail because of logistics even when the academic fit is good.

Keep the decisions separate

Host support, university admission, a scholarship award and immigration permission are different stages. A supportive email does not guarantee any of the later decisions. Keep each status explicit in your tracker and budget.

If the award is unsuccessful, ask whether another route is appropriate rather than assuming the host can replace the funding personally. Thank the academic for their time and retain a professional relationship. The goal is a credible research partnership built on clear expectations, not a signature collected for a form.
